Personal Media Archiving Guide: Backups You Can Restore

Build a personal archive for family photos, videos, Blu-rays, DVDs, and project files using clear names, independent copies, integrity checks, and restore tests.

Quick answer: a personal archive is not one large drive. It is an organized set of originals, useful access copies, independent recovery copies, integrity records, and scheduled restore tests. A NAS, external drive, optical disc, or cloud account can play one role, but none is the whole plan by itself.

This guide covers family photos and videos, creative projects, documents, self-authored discs, and media you own or are authorized to preserve.

Start with an inventory, not a shopping list

Record where each original came from, what should be retained, where the independent copies live, and when the last restore test passed. This inventory changes what you do when a drive fails or a format becomes difficult to open.

Separate originals, access copies, and metadata

Do not overwrite the only original while editing. If you create a compressed MP4 for a television, keep the original camera file or verified lossless archive so a future copy can be made for another device.

A practical three-location layout

  1. Working location: the organized collection on a computer or NAS used for normal access.
  2. Recovery copy: an external drive or second system that does not mirror every deletion without a recovery window.
  3. Location-separated copy: the most important material on storage kept outside the same room or site.

The Library of Congress recommends identifying and organizing what to save, keeping copies on at least two different storage media in separate physical locations, and migrating saved copies to current storage about every five years. Treat that interval as a planning reminder, not a guaranteed lifespan for any device.

Give each storage type one clear job

NAS

A NAS can centralize files and make automated backup or family access easier. It can still suffer deletion, filesystem problems, controller failure, theft, or site-wide damage. RAID availability is not an independent recovery copy.

External HDD or SSD

An external drive is practical for a separate recovery set. One copy that remains disconnected except during planned updates has a different failure path from the always-mounted working storage.

Blu-ray or DVD

Optical media can provide an offline copy, but NARA describes optical discs as a long-term preservation challenge and recommends considering reformatting. Store discs properly, avoid touching the data surface, and plan to read and migrate them rather than assuming they will remain accessible forever.

BDA lists 25GB and 50GB for ordinary single- and dual-layer Blu-ray. Capacity alone does not prove drive compatibility, burn quality, or lifespan. Use BD-R vs BD-RE vs BDXL when choosing writable media.

Cloud storage

Cloud storage can separate a copy from the home location. Before relying on it, check cost growth, upload time, retained quality, version history, export tools, account recovery, and how a complete download would work if the service changed.

Use names that survive a software change

A date-first structure is easy to sort without a specific catalog application:

Choose a pattern and apply it consistently. Keep a short README or inventory file that explains abbreviations, time zones, people, rights, and the difference between originals and exports.

For a Plex movie library, follow Plex’s current movie-folder and filename pattern, such as Movie Name (year)/Movie Name (year).ext. Test one small folder before renaming an entire collection.

Choose a disc archive result by future use

One result does not have to serve every use. A verified ISO or lossless title file can be the retained source while a smaller copy serves daily playback.

Add integrity checks that change the recovery decision

A checksum or fixity record lets you determine whether a file is unchanged between two points in time. The Library of Congress uses stored values and later comparisons as part of data-integrity monitoring.

Use a checksum when the result changes what you do next:

  1. Create the integrity record after the preservation copy is finalized.
  2. Store the manifest with the inventory and keep another copy of it separately.
  3. Recheck after copying to new storage and during scheduled archive reviews.
  4. If a value changes unexpectedly, stop overwriting replicas, compare the independent copies, and restore from a verified copy.

A matching checksum does not prove that you selected the correct title, subtitle, or photo. It proves only that the checked bytes match the stored reference. You still need playback and restore tests.

Run a restore test, not only a file scan

At each review:

A first-week archive plan

  1. Inventory the devices, folders, discs, cloud accounts, and project locations that hold unique material.
  2. Choose the highest-value subset instead of reorganizing everything at once.
  3. Copy originals into a readable working structure without editing them in place.
  4. Add dates, names, rights, and context in filenames, folders, or notes.
  5. Create an independent recovery copy and a location-separated copy for the most important material.
  6. Generate integrity records for finalized preservation files where they will guide recovery.
  7. Restore and open a representative sample from the recovery copy.
  8. Put the next review and migration decision on a calendar.
